SCOPE OF WORK / DUTIES / ROLES
- On-site presence and operational oversight of Primary Supplier deployment activities at assigned locations, including Customer stakeholder management and briefings;
- Site readiness verification against agreed acceptance checklist prior to Primary Supplier team arrival;
- Quality assurance of device deployment, build validation, and asset data capture against Project standards;
- Real-time incident escalation and first-line resolution coordination between Primary Supplier teams, sites and project team as necessary;
- Daily deployment progress tracking and variance reporting against schedule;
- Coordination of site access, local stakeholder management, and deployment logistics;
- User Acceptance Testing (UAT) facilitation and formal site completion certificate sign-off;
- Asset register validation and Configuration Management Database (CMDB) update verification per location as necessary;
- Support of disposal processes to ensure NCIA guidance is implemented effectively;
- Primary Supplier interface management: attendance at daily stand-ups, deliverables ceremonies, and deployment briefings;
- Weekly consolidated status reporting to NCIA Project Manager;
- Risk and issue identification, logging, and escalation in line with Project governance;
- Implementation Support Administrator: administrative coordination, site liaison, communications support, Account Manager liaison, security request management, logistic support, documentation management, travel troubleshooting, and support to Project Manager’s Project Support Officer.
REQUIRED SKILLS, KNOWLEDGE AND EXPERIENCE
- Proven experience in a project support, Project administrator, or implementation coordinator role within a large-scale IT or infrastructure deployment Project;
- Strong organisational skills with the ability to manage multiple workstreams simultaneously and work to tight deadlines;
- Excellent written and verbal communication skills in English; able to communicate clearly with technical, managerial, and international stakeholders;
- Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams, SharePoint);
- Experience with reporting tools and data analytics such as Power Bi;
- Experience maintaining Project documentation, trackers, and registers (risk, action, issue, decision);
- NATO SECRET security clearance;
- Experience working in or with a defence, government, or multinational organisation.
Desirable:
- Familiarity with NATO organisational structures, NCIA, or Allied Command Operations (ACO) environments;
- Experience supporting device deployment, IT hardware rollouts, or end-user computing (EUC) Projects;
- Knowledge of ITIL, PRINCE2, or equivalent project management frameworks;
- Experience working with or alongside a prime contractor / systems integrator delivery model;
- Exposure to enterprise logistics platforms, asset management systems, or ITSM tools (e.g. ServiceNow,);
- Additional NATO language skills (French desirable).
